Business Unit Overview
Corporate Development & Smart Communities: Our Business Unit integrates Corporate Development, Infrastructure Delivery, and Smart Communities, and is accountable for driving strategic growth through a combination of acquisition, development, integration, and operations.
Through the Corporate Development function, we identify, assess, and execute strategic investments and M&A opportunities that accelerate our network reach, customer base, and capabilities. This includes full lifecycle responsibility — from origination, due diligence, and transaction execution through to post-acquisition integration.
We lead the design and deployment of FTTP and digital infrastructure into greenfield and smart community environments, partnering with developers and utility partners to enable the connected communities of tomorrow.
Role Purpose
As Project Coordinator you have an opportunity to support the Project Manager from Contract Award through to Operational Handover in the implementation of Smart Communities Projects overseeing planning, deployment and transition of high-speed fibre optic and WiFi networks utilising the latest innovative software and products with a high focus on stakeholder engagement and satisfaction.
Key Responsibilities
Project Administration & Documentation
Maintain project documentation including registers, schedules, reports, meeting minutes, and action logs.
Ensure all documents are version-controlled, stored appropriately, and accessible to project stakeholders.
Support the creation and distribution of project plans, briefs, and status reports.
Scheduling & Coordination
Assist in the development and maintenance of project schedules, timelines, and milestones.
Support the coordination of project meetings, workshops, and stakeholder sessions, including preparing agendas and follow-up notes.
Stakeholder & Communication Support
Support the Project Manager for internal and external stakeholders to facilitate project communications.
Support communication flows between project team members, suppliers, vendors, and clients.
Escalate issues, risks, or delays to the Project Manager as required.
Reporting & Data Management
Gather, track, and validate project data for reporting purposes.
Prepare fortnightly and monthly project status reports, dashboards, and performance summaries.
Support the Project Manager to maintain project registers such as risk, issues, decision, change, and dependency logs.
Budget & Procurement Support
Assist with tracking project costs, purchase orders, invoices, and budget updates.
Support procurement documentation, and sourcing activities as directed by the Project Manager.
Help maintain financial reporting schedules and cost forecasts.
Quality Assurance & Compliance
Support the Project Manager to ensure project processes, templates, and governance frameworks are followed.
Assist in preparing documentation for audits, compliance checks, and quality reviews.
Support adherence to Smart Communities PMO standards.
Project Tools & Systems Management
Maintain project-related systems such as PM software, document repositories, or scheduling tools.
Ensure accurate and up-to-date information is captured in project management platforms (e.g., Jira, ClickUp, SharePoint, etc.).
Qualifications and Experience
Short term project coordination experience
Strong administration management experience
Experience in defining and developing new processes and ways of working
Strong relationship skills and ability to communicate strongly both in written and verbal form.
Ability to work remotely and unsupervised while contributing to the team through collaboration and ideas for improvement.
